How to Build a Content Calendar in ClickUp (Free Template)

content calendarclickupeditorial workflow

On this page

To build a content calendar in ClickUp, create one Space for content, one List called "Content pipeline", and one task per piece of content. Give the List statuses that match your workflow from idea to published, add custom fields for channel, publish date, owner and SEO keyword, and view it all as a Calendar for dates and a Board for handoffs. Then add a few automations so drafts move to the right person without a chat message. The free plan covers a small team. The full template is below, ready to copy.

Key Takeaways

  • The free plan includes Calendar view. ClickUp's Free Forever plan lists "Calendar View", "Kanban Boards", "Unlimited Tasks & Subtasks" and "1 Form", with 60 MB of storage (ClickUp pricing, retrieved 2026-10-16).
  • Free custom fields are metered. ClickUp's help center says Free Forever gets 60 custom field uses, and a use counts each time a value is added to a task; paid plans are unlimited (ClickUp Help, Custom Fields uses, retrieved 2026-10-16).
  • Free automations cap at 100 actions a month. The pricing page lists 5 active automations and 100 actions per month on Free (ClickUp pricing, retrieved 2026-10-16).
  • Statuses can differ by List. ClickUp lets you customize statuses at the Space, Folder or List level (ClickUp Help, Statuses FAQ, retrieved 2026-10-16), so the content List can have its own editorial workflow.
  • Save it once, reuse it forever. A List can be saved as a template from its menu (Templates, then Save as Template) (ClickUp Help, List templates, retrieved 2026-10-16).

Why spreadsheets fail for content

A spreadsheet works until three things happen.

  1. Drafts live somewhere else. The row links to a Google Doc, feedback sits in comments on that doc, and approval happens in chat. Nobody can see in one place that a post is stuck waiting for legal.
  2. Nothing tells the next person it is their turn. When a writer changes "Status" to "Ready for edit", the editor finds out only by checking the sheet.
  3. Dates drift silently. A publish date in a cell does not move dependent tasks, so a slipped draft never shows up as a slipped publish date until the day itself.

Google Sheets is still the right answer for a solo creator publishing a few posts a month: "Anyone with a Google Account can create in Sheets" (Google, retrieved 2026-10-16). Notion is a good fit if your team already writes drafts there. Its Free plan is $0, with Plus from $10 per member a month (Notion pricing, retrieved 2026-10-16). ClickUp makes the most sense when several people hand work to each other and you want the handoffs automated. For the planning side, meaning what to publish and why, see building a content calendar from strategy to execution.

Spaces, lists and statuses

ClickUp organizes work as Workspace, then Spaces, Folders, Lists and tasks (ClickUp hierarchy guide, retrieved 2026-10-16). Tasks must live in a List, and Folders are optional (ClickUp Help, List info, retrieved 2026-10-16). For a content calendar, keep it flat:

  • Space: "Content". One per team or brand.
  • List: "Content pipeline". Every piece of content, every channel, in one List. Do not split by channel. Channel is a field (see below), and one List means one calendar.
  • Task: one per piece of content ("Blog: How to price a freelance project").
  • Subtasks: the deliverables that belong to it ("Hero image", "LinkedIn post", "Newsletter blurb").

Optional: if you run campaigns, add a Folder per quarter or campaign and keep the same List structure inside.

Statuses for an editorial workflow

ClickUp groups statuses into Not Started, Active, Done and Closed. "Not Started" is an extra group turned on through a ClickApp and available on all plans (ClickUp Help, Not Started statuses, retrieved 2026-10-16). Set these on the "Content pipeline" List:

StatusGroupMeaningWho acts next
IdeaNot startedPitched, not approvedEditor
ApprovedNot startedGreenlit, has a publish dateWriter
DraftingActiveWriter workingWriter
In reviewActiveEditor or subject expert reviewingEditor
DesignActiveImages, video, layoutDesigner
ScheduledDoneLoaded into the CMS or schedulerPublisher
PublishedClosedLive, link addedNobody

If you need legal approval, add a "Legal review" status after "In review"; statuses are what board columns and automations key off.

Custom fields for SEO and channels

Custom fields turn each task into a row of structured data you can filter, sort and color on the calendar. Create these on the List:

FieldTypeValues or formatWhy
ChannelLabelsBlog, Newsletter, LinkedIn, Instagram, YouTubeOne piece can ship to several channels
Content typeDropdownGuide, Roundup, Case study, Announcement, Short videoReporting on mix
Publish dateDateDate and timeThe date the calendar shows
Primary keywordTexte.g. "clickup content calendar"SEO briefs stay attached
Target URLURLFinal link once liveOne click from task to post
CampaignDropdownYour quarterly themesFilter the calendar by campaign

A note on field types: ClickUp's help center describes Labels as working like a flexible list of options, while Dropdown suits single-choice fields such as content type. Dropdowns allow up to 500 options (ClickUp Help, Custom Field types, retrieved 2026-10-16).

Use the task's built-in due date for the draft deadline and the custom Publish date for the go-live date. Keeping them separate is what lets the calendar show a draft due on Tuesday for a post that goes live on Friday.

Free plan warning: Free Forever counts custom field uses, at 60 in total, and each value added to a task counts (ClickUp Help, retrieved 2026-10-16). Six fields on ten tasks uses them up. If you publish more than a handful of pieces a month, either stay on Free with just one or two fields, such as Channel and Publish date, or move to a paid plan, where uses are unlimited.

If SEO drives your calendar, pair this setup with the keyword-first process in how to build an SEO content calendar with AI.

Calendar and board views

Add two views to the List with the "+ View" button. Optionally add a third.

Calendar view. It is available on all plans, including Free, with no cap (ClickUp Help, Views availability, retrieved 2026-10-16). Set it to show tasks by your Publish date or by due date, and filter by Channel when you want to see one channel's week on its own. Unscheduled ideas wait in the "Unscheduled and overdue tasks" panel, and dragging one onto a day sets its dates (ClickUp Help, start dates, retrieved 2026-10-16).

Board view. Columns are statuses, so the board is your handoff view. Writers live in "Drafting", editors in "In review". A full column is a bottleneck you can see.

Optional: Form view for ideas. The Free plan includes one form (ClickUp pricing, retrieved 2026-10-16). Share it with sales or support so ideas land in the List as "Idea" tasks instead of in a chat thread.

Google Calendar sync. If stakeholders live in Google Calendar, ClickUp can sync tasks from chosen Spaces, Folders or Lists. ClickUp recommends using a new, dedicated Google calendar for this (ClickUp Help, Google Calendar syncing, retrieved 2026-10-16).

Automations for handoffs

Automations replace "hey, it's ready" messages. A status-change trigger can be limited to a change from or to a specific status (ClickUp Help, automation triggers, retrieved 2026-10-16). Start with three:

  1. When status changes to "In review", assign the editor. The writer is done, and the editor is notified automatically.
  2. When status changes to "Design", assign the designer and add a comment listing the image specs for the channel.
  3. When status changes to "Published", remove assignees. Finished work leaves everyone's "My Tasks" view.

Optional: a recurring task for the weekly newsletter. Recurring tasks are available on every plan, and the due date controls when each new copy is created (ClickUp Help, Recurring Tasks, retrieved 2026-10-16).

Mind the limits. ClickUp's help center lists Free at 5 active automations and 100 actions a month, Unlimited at 1,000 actions and Business at 5,000. Automations pause when you exceed the limit, and limits reset monthly (ClickUp Help, Automations limits, retrieved 2026-10-16). The current pricing page shows a newer Business plan with 10,000 a month, so check which applies to your account. A team publishing 20 pieces a month with three automations each uses about 60 actions, which fits inside Free.

Which plan you need

On 2026-10-16, ClickUp's pricing page showed two plan lineups side by side: Unlimited at $7 per user a month billed yearly ($10 monthly) and Business at $12 ($19 monthly), alongside a newer lineup with Core at $9 and Business at $17 per user a month billed yearly (ClickUp pricing, retrieved 2026-10-16). Which one you are offered may depend on your account, so check at checkout. Our ClickUp review covers plan differences and the guest-billing details.

  • Free: one to three people, a few pieces a month, one or two custom fields.
  • Entry paid plan (Unlimited or Core): unlimited custom field uses and more automations. This is the plan most content teams need.
  • Business: larger teams with many automations, or anyone needing integrations and webhooks.

Free template to copy

ClickUp has its own templates, for example a Weekly Content Calendar template with 7 statuses, 11 custom fields and 6 views (ClickUp templates, retrieved 2026-10-16). If you would rather build the setup in this guide, here it is as a checklist you can copy. It takes about an afternoon.

Frequently Asked Questions

Can I use ClickUp's free plan for a content calendar?

Yes, for a small team. Free Forever includes Calendar view, Board view, unlimited tasks and one form. The limits that bite are 60 custom field uses in total and 100 automation actions a month. Keep custom fields to one or two, or move to a paid plan once you publish regularly.

Is ClickUp better than Notion for a content calendar?

ClickUp is stronger when several people hand work to each other, because statuses, assignees and automations move tasks along without messages. Notion is stronger when drafts and the calendar should live in the same document. Its Free plan is $0 and Plus starts at $10 per member a month, as read on 2026-10-16.

Can a ClickUp content calendar sync with Google Calendar?

Yes. ClickUp can sync tasks from chosen Spaces, Folders or Lists to Google Calendar, and recommends using a new, dedicated Google calendar for it. Changes made in Google are reflected back in ClickUp.

How this guide was researched

We read ClickUp's pricing page, hierarchy guide, template listings and help-center articles on statuses, custom fields, views, automations, templates and Google Calendar sync, plus Notion's pricing page and Google's Sheets product page, on 2026-10-16. Some ClickUp help articles blocked automated reading and were checked through their indexed text. This guide is a setup method built from documentation, not a record of hands-on testing.
