Best Employee Training Software for Small Business

If you keep repeating the same training to every new hire, the first fix is writing your processes down, not buying a course platform. For most businesses under 50 people, that means a playbook tool such as Trainual or Whale, or the free baseline of Google Docs plus Loom. Buy an LMS such as TalentLMS or LearnWorlds only when you need structured courses, quizzes with certificates, or SCORM content. Docebo is for when you have hundreds of learners.
Prices and limits below come from each vendor's pricing page, read on 2026-10-16. Where a vendor does not publish a price, we say so. LogicBalls did not set up training programs in these tools for this roundup.
Key Takeaways
- TalentLMS is the cheapest published LMS for 10 to 40 people: Core is $119 a month on yearly billing for 1 to 40 users, and its free plan covers up to 5 users and 10 courses (TalentLMS pricing, retrieved 2026-10-16).
- LearnWorlds Starter is $24 a month on annual billing for up to 1,000 active learners and 1 admin, plus $5 per paid enrollment (LearnWorlds pricing, retrieved 2026-10-16).
- Trainual does not publish prices and charges "A one-time implementation fee of $1,000" (Trainual pricing, retrieved 2026-10-16).
- Whale's free plan covers 1 creator and up to 10 members; Scale is $249 a month on yearly billing with 3 creators (Whale pricing, retrieved 2026-10-16).
- Docebo is typically a fit for organizations "Training at least 250+ learners" and has a one-year minimum contract (Docebo pricing, retrieved 2026-10-16).
Playbook tool or LMS?
These are two different kinds of software, and most "best training software" lists mix them up.
A playbook (SOP) tool stores how your business works: step-by-step processes, policies, role descriptions, checklists, short videos. New hires read and follow them, and you assign them by role. Training is a by-product of documenting the work. Trainual and Whale are in this group, and so is a well-organized Google Drive.
An LMS (learning management system) delivers courses: modules in sequence, quizzes, certificates, completion tracking, often SCORM packages bought from content providers. TalentLMS, LearnWorlds and Docebo are in this group.
Use this to decide:
| Your situation | Start with |
|---|---|
| Processes live in your head; every hire learns by shadowing | Playbook tool or Docs + Loom |
| You need proof that staff completed compliance training | LMS |
| You bought or will buy SCORM courses | LMS with SCORM support |
| Training is mostly "how we do X here" | Playbook tool |
| You also train customers or sell courses | LearnWorlds |
| Under 10 people, tight budget | Docs + Loom, Whale Free, or TalentLMS Free |
If the processes are not written down yet, no LMS will fix that. Our guide to building SOPs shows how to capture a process in a form someone else can follow.
Trainual: SOPs and onboarding
Trainual is a playbook tool for documenting processes and turning them into role-based training. Its pricing page lists four plans, Core, Pro, Premium and Enterprise, all behind "Get a demo" (Trainual pricing, retrieved 2026-10-16):
- Core: unlimited AI-assisted documentation, AI-powered knowledge search, 500+ templates, built-in screen recording, 2 GB of video storage, training by group (role, department, location), due dates, and testing, tracking and reporting.
- Pro: adds individual training paths, video uploading with auto-generated transcriptions, 15 GB of video storage, 300 e-signatures a year, org and accountability charts, and 5 GB of SCORM storage.
- Premium: adds unlimited video storage and e-signatures, custom branding and domain, single sign-on, and 15 GB of SCORM storage.
- Enterprise: adds API access, SOC 2 documentation and priority support.
Two facts from the same page shape the decision for a small business. Trainual says it "is best suited for companies with 25 - 1000 employees", and every new customer gets implementation support with "A one-time implementation fee of $1,000". Trainual does not publish plan prices. CostBench, which collects buyer-reported prices, lists Core at $249 a month with 10 seats included, but its own page also shows "Contact Sales" for every tier and calls Trainual's pricing custom (CostBench, Trainual, retrieved 2026-10-16). Treat that as a starting point for negotiation, not a quote.
Pick Trainual if you have 25 or more employees, several roles to onboard, and want SOPs, role charts and training in one place with hands-on setup help.
Not for: a 6-person business that will not use the setup service, or anyone who needs a price before a sales call.
LearnWorlds: course-style training
LearnWorlds is a course platform built mainly for selling courses, which also handles internal training. Its FAQ says you can "create and deliver impactful training content without the need to sell courses externally" (LearnWorlds pricing, retrieved 2026-10-16).
| Plan | Annual billing | Monthly billing | Active learners/month | Admins | Notable limits |
|---|---|---|---|---|---|
| Starter | $24/month | $29/month | 1,000 | 1 | $5 per paid enrollment |
| Pro Trainer | $79/month | $99/month | 2,000 | 5 | No enrollment fees; up to 20 SCORM uploads |
| Learning Center | $249/month | $299/month | 2,000 | 25 | Full white-label; up to 10 client groups |
| Corporate | Custom | Custom | Custom | Custom | 99.95% uptime, SLAs |
Source: LearnWorlds pricing, retrieved 2026-10-16. Every plan includes the AI course builder, assessments, unlimited video hosting and a community area; the trial runs 30 days.
The pricing is flat, not per employee, which is why it looks cheap for a small team: 10, 25 or 50 learners all sit well inside Starter's 1,000-learner limit. The $5 fee applies per paid enrollment, so internal courses you give staff for free should not trigger it, though confirm that with LearnWorlds for your setup. For employee training, the realistic plan is Pro Trainer if more than one person builds courses or you need SCORM.
Pick LearnWorlds if you want polished, interactive courses, or you train customers or partners as well as staff.
Not for: documenting day-to-day processes. A course platform is the wrong place to keep a 40-step SOP that changes monthly.
TalentLMS
TalentLMS is a straightforward corporate LMS priced by the number of unique users who log in each month. Its pricing page lists (TalentLMS pricing, retrieved 2026-10-16):
| Plan | Users | Yearly billing | Monthly billing |
|---|---|---|---|
| Free | Up to 5 users, up to 10 courses | $0 | $0 |
| Core | 1 to 40 | $119/month | $149/month |
| Core | 41 to 70 | $159/month | $219/month |
| Grow | 1 to 70 | $229/month | $299/month |
| Pro | 1 to 100 | $449/month | $579/month |
Core includes unlimited courses, one branch, SSO, custom domain, API, custom reports, learning paths, automations and the AI course tools. TalentLMS says all plans include unlimited storage, SCORM 1.2, Tin Can and cmi5, and the free plan has no time limit and needs no credit card (same source).
Pick TalentLMS if you need tracked courses with tests, completion reports and SCORM support for 10 to 70 people at a published price.
Not for: documenting how your business runs; it is a course tool. If you count users carefully, note that pricing follows monthly logins, so seasonal staff can push you into the next bracket.
Whale
Whale is a playbook tool like Trainual, with screen recording, a video-to-SOP converter, checklists, training flows and AI quizzes. It publishes its prices, including a machine-readable version last updated 2026-09-07 (Whale pricing, retrieved 2026-10-16):
| Plan | Yearly billing | Monthly billing | Creators | Members |
|---|---|---|---|---|
| Free | $0 | $0 | 1 | Up to 10 |
| Scale | $249/month | $399/month | 3 included | Limited; limit not published |
| Advance | $499/month | $799/month | 5 included | Limited; limit not published |
| Enterprise | Custom | Custom | Custom | Unlimited |
Extra creators are $29 a month on Scale and $39 on Advance with yearly billing. Whale separates creators, who build SOPs, from members, who read them. The free plan is also capped at 20 Playbook items, and training flows are limited to 1 on Free and 5 on Scale (same source).
Pick Whale if you want a playbook tool with a real free tier to start, or published pricing to compare against Trainual's quote.
Not for: teams that need many people editing content; creator seats add up. Ask for the member limit on Scale before you sign, because the page does not publish it.
Docebo (when you scale)
Docebo is an enterprise LMS. It does not publish prices; its two tiers, Elevate and Enterprise, are quoted based on your active-user model (monthly, yearly or registered active users). The page says Docebo typically fits organizations "Training at least 250+ learners", counting customers, partners and employees together, that the minimum contract is one year, and that most customers sign for 3 to 5 years (Docebo pricing, retrieved 2026-10-16).
Pick Docebo if you are past a few hundred learners, train external audiences too, and need enterprise integrations.
Not for: any business in this post's 10-to-50 range. It is included so you know where the ceiling is.
Google Docs + Loom: the free baseline
Before paying for anything, you can build a working onboarding system with tools you likely already have:
- One Google Doc per process, named by role and task ("Front desk: opening checklist"), in a shared folder per role.
- A short Loom video for each process that is easier to show than describe. Loom's free Starter plan allows up to 50 members, up to 25 videos per person and 5-minute recordings; Business is $18 per user per month for unlimited videos and recording time (Loom pricing, retrieved 2026-10-16).
- A first-week checklist in a Doc or Sheet that links to each process, with a tick-box column the new hire and manager sign off.
- A quarterly review date on each Doc, so the owner checks it is still true.
If you do not already pay for Google Workspace, Business Starter's flexible plan lists $7 per user per month, with 30 GB of pooled storage per person; an introductory 30%-off offer for three months was shown when we checked (Google Workspace pricing, retrieved 2026-10-16).
What the free baseline lacks: assignment by role, due dates, completion tracking, quizzes and a single search across everything. When you find yourself chasing people to confirm they read a Doc, that is the signal to move to a playbook tool.
Price for 10, 25, 50 people
List prices per month, read on 2026-10-16, for the plan a business of that size would realistically need.
| Tool | Type | 10 people | 25 people | 50 people |
|---|---|---|---|---|
| Google Docs + Loom | Free baseline | $0 with existing Workspace and Loom Starter | $0 | $0 (Loom Starter allows up to 50 members) |
| Whale | Playbook | $0 on Free (1 creator, 10 members) | $249 on Scale, yearly | $249 on Scale, yearly (confirm member limit) |
| Trainual | Playbook | Not published; CostBench reports Core from $249 with 10 seats | Not published | Not published |
| TalentLMS | LMS | $119 on Core, yearly | $119 on Core, yearly | $159 on Core (41 to 70), yearly |
| LearnWorlds | LMS / course | $24 Starter or $79 Pro Trainer, annual | Same | Same (flat, up to 1,000 or 2,000 learners) |
| Docebo | Enterprise LMS | Quote; aimed at 250+ learners | Quote | Quote |
Add Trainual's one-time $1,000 implementation fee in year one. For monthly billing instead of yearly, TalentLMS Core is $149 for up to 40 users and $219 for 41 to 70, LearnWorlds Starter is $29, and Whale Scale is $399.
Three things the table hides:
- Who builds content. Whale charges by creator; LearnWorlds by admin; TalentLMS and Trainual mainly by learner. A 50-person business with one person writing SOPs is cheap on Whale and LearnWorlds.
- Year-one setup. The software is the small cost. Writing 30 processes is the large one, whichever tool you pick.
- SCORM. If you will buy SCORM courses, check support first: TalentLMS includes it on all plans, LearnWorlds from Pro Trainer, Trainual from Pro. Our SCORM compliance guide explains what to check.

Frequently Asked Questions
What is the best free employee training software?
For documenting processes, Google Docs plus Loom's free Starter plan (up to 50 members, 25 videos per person, 5-minute recordings) or Whale's free plan (1 creator, up to 10 members, 20 Playbook items). For courses with tracking, TalentLMS's free plan covers up to 5 users and 10 courses with no time limit.
How much does Trainual cost?
Trainual does not publish prices; every plan on its pricing page leads to a demo. It does publish a one-time $1,000 implementation fee and says it is best suited to companies with 25 to 1,000 employees. Third-party trackers such as CostBench report Core starting around $249 a month with 10 seats, but that is not an official quote.
Do I need an LMS for a small business?
Usually not at first. If your problem is that processes live in the owner's head, a playbook tool or shared documents solve it faster and cheaper. An LMS becomes worth it when you need structured courses, quizzes with certificates, compliance records or SCORM content.
What is the difference between Trainual and TalentLMS?
Trainual is a playbook tool: it documents how your business works, organizes it by role, and tracks who has completed it. TalentLMS is a course platform: it delivers modules, tests and certificates, and supports SCORM. Trainual prices by quote; TalentLMS publishes prices starting at $119 a month on yearly billing for up to 40 users.
Is LearnWorlds good for employee training?
It can be. LearnWorlds says it supports internal training without selling courses, and its flat pricing covers 1,000 active learners on Starter. It suits businesses that want polished interactive courses or also train customers. It is not built for day-to-day SOP documentation.
How this guide was researched
We read the pricing pages of Trainual, LearnWorlds, TalentLMS, Whale (including its machine-readable pricing file), Docebo, Loom and Google Workspace on 2026-10-16, and used CostBench only for Trainual, which publishes no prices, labeling it as a third-party estimate. Tools were compared from documentation, pricing and public information, not hands-on testing. LogicBalls may earn a commission from some links in this post, which does not change the order or the recommendations.
